What has to be at the top

An administrative assistant resume should open with who you support and at what scale: how many people, which executives or departments, and what kind of office. Name the systems you keep the office running on, such as Microsoft 365, Google Workspace, SharePoint or Concur, in the first lines. Then give each job one or two results in time or money saved, because every applicant can say they answered phones.

Why this example works

  • The first sentence sizes the job, a 40-person office and two directors, because scale is how a hiring manager tells one administrative role from another.
  • Software is named by product (SharePoint, Concur, Excel) rather than as computer skills, which is how office managers and applicant systems search for it.
  • Each result is time or money the office got back: vendor spend, days to close a request, missed appointments. Routine duties such as answering phones are left out, since every candidate has them.
  • The dental front-desk job stays, written in office terms, because patient scheduling and intake forms carry straight over to corporate support.

Summaries

Administrative Assistant resume summary examples by experience level

The summary is the part of a resume that changes most as a career goes on. The same job at three stages, and what each stage leads with.

  • First office job

Recent business administration graduate with two years of part-time reception work in a university admissions office, handling 60 to 80 calls and walk-ins a day. Holds a Microsoft Office Specialist certification in Word and set up the shared Outlook calendar the office's eight staff still use.

Reception, retail and campus jobs count. Pull out the scheduling, phones, records and software in each, and give one of them a number.

  • Experienced administrative assistant

Administrative assistant with four years in a 25-person regional law firm, supporting three partners with calendars, court-date tracking and client billing entries. Rebuilt the firm's file-naming and retention rules in SharePoint, which halved the time staff spent looking for documents.

Name the kind of office and who you support, then one change you made that stayed in place after you set it up.

  • Senior administrative assistant or office manager

Senior administrative assistant and office manager with 11 years in healthcare administration, supporting the CEO and a five-person leadership team and supervising two receptionists. Owns a $320,000 office budget, the vendor contracts behind it, and the logistics of 12 board meetings a year.

Budget, contracts and the people you supervise go in the summary at this level. They separate you from assistants who support a single manager.

Skills

Skills for an administrative assistant resume

Office postings name software outright, so write "Excel (pivot tables, XLOOKUP)" instead of "proficient with computers", and add a typing speed in words per minute when the posting asks for one. Skip tasks every applicant claims, such as answering phones, unless the posting lists them.

Hard skills

Office software

  • Microsoft Outlook
  • Microsoft Excel
  • Microsoft Word
  • SharePoint
  • Google Workspace

Scheduling and travel

  • Calendar management
  • Travel arrangements
  • Meeting and event coordination
  • Expense reports
  • Minute taking

Office operations

  • Vendor management
  • Records management
  • Data entry
  • Invoice processing

Soft skills

  • Discretion with confidential information
  • Prioritization
  • Written communication
  • Attention to detail
  • Composure with interruptions
  • Customer service

Name two or three of these in the skills section at most. They count for more when a bullet shows one at work.

Bullet points

Administrative Assistant resume bullet points, before and after

Five lines as people first write them, and the same lines rewritten so the result comes last, where the eye lands. The numbers are illustrative; use your own.

  • Answered phones and greeted visitors.

Ran the front desk for a 60-person office, handling about 70 calls and 20 visitors a day, and wrote a call-routing sheet that cut misdirected transfers by half.

  • Scheduled meetings for executives.

Kept the calendars of the CFO and two vice presidents across three time zones, including a quarterly board meeting for 14 attendees, with no double bookings in two years.

  • Booked travel for staff.

Booked about 90 trips a year for the sales team within the company travel policy, and brought average airfare down by $110 a trip by booking at least three weeks ahead.

  • Ordered office supplies.

Took over supply ordering, set reorder levels for 40 items and moved to one monthly order; supply spend dropped 22% and last-minute store runs stopped.

  • Did data entry.

Entered and checked 300 vendor invoices a month in QuickBooks, and caught $14,600 in duplicate billing during the first year.

Beyond experience

Administrative certifications and office credentials

No license is needed to work as an administrative assistant, so a credential here proves a skill rather than grants permission to work. A software certification or a notary commission gives the employer something it can check, and it takes one line.

  • Microsoft Office Specialist (MOS)

Issued per application, such as Word or Excel, at Associate and Expert levels. Write the title as Microsoft prints it, for example "Microsoft Office Specialist: Excel Associate (Microsoft 365 Apps)", with the year. Microsoft lists a renewal frequency of 60 months for that certification.

Issued by Microsoft, delivered through Certiport

  • Typing speed

Not a certificate, but front-desk and data-entry postings sometimes set a minimum. If you list one, use a score from a timed test you could repeat on the spot, and put it with your skills rather than in the summary.

  • Notary public commission

Useful in law offices, real estate, banks and HR departments, where documents need notarizing in the building. The commission and its term are set by your state, so list the state and the month it expires.

    Issued by your state

  • Training on the systems you run

Travel, expense and HR platforms such as Concur or Workday often come with vendor or employer training. Name the system in your skills; a separate line for the course is only worth it when the posting names that system.

Template

Which template to use for an administrative assistant resume

Modern. Many administrative jobs are filled by an office manager or an agency recruiter who reads the resume directly, often from an email. Modern gives that reader a sidebar with the software and skills beside the job history, so Excel, SharePoint and Concur stay in view without taking lines from the jobs. For a large company's online application, switch to Basic, a single column that downloads free without a watermark.

Administrative Assistant resume questions

How do you describe being an administrative assistant on a resume?

By who you supported, how many people, and what changed because of you. "Supported two directors and a 40-person office" gives the reader the scale; a result such as fewer missed appointments or a lower supply bill shows the quality. The list of duties from the job description can stay off.

What are the top 3 skills of an administrative assistant?

Scheduling (calendars, meetings and travel), office software (Outlook, Excel, Word or Google Workspace) and clear writing, because between them they cover most of the working day. On a resume, prove each one in a bullet rather than only listing it: a calendar you run, a spreadsheet you built, a procedure you wrote.

What is a good summary for an administrative assistant resume?

Two or three sentences with your years and the kind of office, who you support, the systems you use, and one result. The three summaries above follow that pattern for a first office job, an experienced assistant and an office manager.

Should an administrative assistant resume have an objective?

Only if you have no office experience yet, and then as one line at the end of the summary saying which role you want. Anyone with office work behind them does better with a summary of what they already do. A line such as "seeking a challenging position" takes the top of the page and tells the reader nothing.

How do I write an administrative assistant resume with no experience?

List the jobs you have had, including retail, reception, restaurant or campus work, and pull the office tasks out of each: scheduling, phones, cash, records, software. Put the software you know high on the page, add a Microsoft Office Specialist certification if you have one, and use the entry-level summary above as a model.

Applying to several jobs? A CV builder, a job-match checker and a personal website cost about $90 a month together on their cheapest plans. The Job Search Pack does all of it for $29, paid once, for 30 days: clean PDFs, cover letters, the full ATS check and your own CV website. That is $1.45 per application if you send 20.
